AI Agents for Fitness and Gyms: Real WhatsApp Member Workflows

Membership enquiries, trial visits, class bookings and renewals — four WhatsApp workflows for a gym, and where the front desk takes over.

AI Agents for Fitness and Gyms: a typographic poster with a barbell, a booked trial slot and a chat reply that sends a health question to the trainer

This guide follows the WhatsApp chats a gym gets every day, how a WhatsApp AI agent for gyms answers them and where the front desk takes over. Names, prices and timings are made up. The same idea in other industries: AI Agents for Real Estate Sales, AI Agents for Education and Coaching, AI Agents for E-commerce and D2C, AI Agents for Healthcare and Clinics and AI Agents for Travel Agencies.

AI Agents for Fitness and Gyms: Quick Answer

The short version:

  • What it does: an AI Agent answers prospects and members on WhatsApp from the plans, timetable and policies your gym has approved: it finds out what a visitor wants, books a trial visit or a class spot through your gym software, and sends renewal links.

  • Where it helps: ad enquiries that arrive in the evening, the same fee and timing questions every day, and class bookings and renewals that the front desk handles by hand.

  • What stays with people: anything about injuries or health, personal-training pricing, freezes, fee waivers, refunds and complaints.

  • In WABB: a knowledge database, keywords that start the AI Agent, instructions and boundaries, flows that book a class or a trial through your system’s API and hand special cases to your desk, and scheduled messages for reminders and renewals.

01

Where Gym Chats Break

It is 9 pm. Someone has tapped a gym’s Instagram ad and writes to its WhatsApp number: “Fees?” The desk is closed. In the morning a staff member sends the price list, the visitor does not reply, and the lead is gone. This is an illustration, not a case study.

A gym chat runs from the first enquiry to the renewal a year later, and it breaks in six places.

Enquiries arrive as one line

“Fees?” has no goal, no preferred time and no branch. The desk answers with a price list, and the visitor has not been asked what they want.

Prospects decide in the evening

Someone who taps an ad after work may be comparing a few gyms. A message sent at 9 pm waits until the desk opens, and the visitor may have booked a trial elsewhere by then.

Trial visits that never happen

A trial is booked by phone or chat, and if nobody reminds the visitor, the trainer waits at the desk for someone who forgot.

The same questions repeat

Timings, women’s batches, parking, trainers, plan prices, freeze rules. The answers exist on the rate card, but they are typed out for each person.

Class spots are managed by hand

Members message the desk or a group to book a spot, and someone checks capacity. A member arrives at 7 am and finds the class full.

Renewals are chased one by one

A plan ends and the desk calls or messages members from a list. Members who lapse quietly may never be followed up.

Ads and Instagram bring the enquiries — see WhatsApp lead generation. The gap is the conversation that follows the first message.

02

What an AI Agent Can Actually Do for a Gym

An AI Agent reads a free-text message, uses the information you have approved and decides what to ask or do next. In a gym chat that comes down to seven jobs:

JobThe person saysThe agent
Qualify an enquiry“Monthly fees?”Answers from your rate card, asks whether the visitor wants the gym floor, classes or both, and keeps the answers as the brief.
Answer gym questions“Is there a women’s batch? Do you have parking? Which branch is open on Sunday?”Answers from your timetable and facility notes. If the answer is not there, it says so and asks your team.
Book a trial visit“Weekday evening works.”Runs a flow that asks your gym software for free trial slots, books the one the visitor picks and sends the address.
Book a class spot“Book me for tomorrow’s 7 am Zumba.”Checks capacity through your system. If the class is full, it offers the next ones with spots.
Remind and renewA plan ends on 30 NovemberA template reminds the member. The reply is answered from your plan card, and a flow sends your payment link.
Take a freeze request“I am travelling for three weeks.”States your freeze policy, writes down the dates and passes the request to the membership desk, which decides.
Route special cases“Can my company get a corporate rate?” “My shoulder hurts.”Collects the brief and hands the chat to the right person, without giving advice on health or training.

The list leaves out workout and diet plans, anything about injuries, personal-training prices, corporate deals, fee waivers and refunds. Those belong to your team — see Rules for Gym Chats.

03

Four Use Cases: From the First Message to the Renewal

Each case starts with a problem the gym already has, shows the chat and ends with what the gym gets. The conversations are illustrations, not transcripts of real members. Read them for what the agent does between the lines: it asks only what it needs, says what it cannot decide, and ends on a clear next step.

1

A one-line ad enquiry that becomes a booked trial

Gyms and studios that run Instagram or Click-to-WhatsApp ads

The problem. Someone taps the ad at 9 pm and writes “Fees?”. The desk replies the next morning with a price list, and by then the visitor may have asked another gym.

Gym assistant

AI Agent · WhatsApp

Hi, saw your ad. What are the monthly fees?

Hello! I am the gym’s automated assistant. I will use your details only for this enquiry. Membership is ₹2,400 for a month, ₹6,300 for three months and ₹18,000 for a year. Are you looking for the gym floor, group classes or both?

Gym floor, I want to start strength training. I had a knee surgery last year, is that ok?

Thanks for telling me. I cannot advise on health matters, and please do not send medical details in this chat. Tell the trainer at your first visit and they will plan around it. Would you like a free trial session? Which days suit you?

Yes, weekday evenings

Checking the evening slots for the next three days.

Thursday at 6:30 pm and Friday at 7 pm are free. Which one should I book?

Thursday

Booked: Thursday, 6:30 pm, Indiranagar branch. Bring sports shoes and a towel, and the trainer will meet you at the front desk. Location: maps.gym.example/indiranagar. I will remind you the day before.

Trial booked, reminder scheduled · no handover needed
Asked
What the visitor wants and when. Nothing about their health.
Remembered
The goal, the weekday-evening preference and the chosen slot.

The result. The visitor has the prices, a booked trial and a reminder coming, and the trainer will hear about the knee in person. Nobody at the desk touched the chat.

2

A class spot, and the next class when it is full

Gyms and studios with timetabled group classes

The problem. Members message the desk or a group to book a spot, and someone checks capacity by hand. Now and then a member arrives at 7 am and finds the class full.

Book me for tomorrow’s 7 am Zumba class

Hi Neha, checking tomorrow’s 7 am Zumba.

The 7 am class is full. Zumba tomorrow at 8 am has 4 spots left and the 6:30 pm class has 9. Should I book one of them?

8 am please

Done: Zumba tomorrow at 8 am, Studio 2. Please arrive 10 minutes early. You can cancel by messaging here up to 2 hours before the class.

Can I bring a friend?

Guest passes are issued at the front desk, one per member per week. Ask for it when you arrive and the desk will add your friend to the class.

Spot booked · no handover needed
Asked
Nothing. The class and the time were in her first message.
Remembered
The class she wanted, the time that was full and the one she chose.

The result. The member has a spot in the next class with space, the rules for cancelling and the answer about guests, with no call to the desk.

3

A renewal reminder that ends in a payment link

Gyms with monthly and quarterly plans

The problem. A plan ends on 30 November. The desk calls members from a list, and the ones who do not pick up simply lapse.

Gym assistant

AI Agent · WhatsApp

Template message · Marketing

Hi Neha, your membership at IronPeak Fitness ends on 30 November. Reply here to renew or to ask about our plans.

Can I renew for 3 months? Any offer running?

Three months is ₹6,300, which is ₹2,100 a month. I do not have an offer on file, so I cannot promise one. The front desk can tell you if a campaign is running. Shall I send the payment link?

Ok send it

Preparing your renewal.

Here is your link for ₹6,300: pay.ironpeak.example/r/2291. After payment your gym system extends your membership by three months.

Renewal link sent · no handover needed
Asked
Only whether to send the link. The plan came from her reply.
Remembered
Her membership end date, the plan she chose and that she asked about an offer.

The result. The member renewed from the chat, got the price from your plan card and no promise of a discount that does not exist.

4

A freeze request that needs the membership desk

Gyms that allow freezes and plan changes

The problem. A member travelling for work asks to pause the plan. The policy has a minimum and a fee, and approving it is not a chat decision.

Gym assistant

AI Agent · WhatsApp

I am travelling for work for 3 weeks from 5 Dec. Can I freeze my membership?

Hi Neha. Our policy allows one freeze per term, for at least 14 days, with a ₹500 fee. The membership desk approves freezes, so I cannot confirm it myself. Shall I note a freeze from 5 December for three weeks?

Yes please

Thank you. I have passed your request to the membership desk with these dates. They reply here during desk hours, and they explain the fee when they confirm.

Passed to the membership desk with the freeze dates
Asked
Only whether the dates were right.
Remembered
The start date, the length and the freeze policy it quoted, so the desk does not ask again.

The result. The membership desk gets the dates written down, and the member knows what happens next instead of waiting for a call back.

Rules for Gym Chats: What the Agent Must Not Do

A gym chat carries payments, fee disputes and the occasional remark about an injury, so the limits come before the setup. Three sets of rules shape what an agent may do, and India’s DPDP Rules, notified in November 2025, also require a clear consent notice, so say what a person’s number is used for. This is not legal advice: ask your lawyer how they apply to your gym.

Opt-in, templates and categories

Meta’s policy lets you contact only people who gave you their number and confirmed they want messages from you, so add a WhatsApp consent line to the joining and trial forms. A booked-visit reminder should be a utility template (our reading). Meta’s own table lists a subscription renewal message with a discount as marketing, so plan renewal reminders as marketing too (our reading). Marketing templates are charged: see the bulk messages guide.

Health details stay out of the chat

Meta’s policy says not to use WhatsApp for telemedicine or to send or request health-related information where regulations restrict it. Our reading is that a gym chat should never ask about injuries, conditions or medication. If someone volunteers it, as in case 1, the agent only sends them to the trainer. A health declaration belongs on your own form or at the desk, and training or diet advice stays with your trainers.

Fees, freezes and results

Prices, freeze fees and refunds are quoted exactly as written, and the agent waives nothing. Meta’s policy also says not to ask for full-length card numbers or other sensitive identifiers, so payment goes through your gateway’s link. The agent promises no results, such as weight lost in a month.

For the agent this comes down to five rules, and each one becomes a boundary, an instruction or a flow in the setup below:

  • Approved facts only: plans, timetable and policies come from your files, and class or trial availability comes from your system. It invents no offer, discount or free class.

  • No health questions and no advice: it tells a visitor to speak to the trainer and never asks about injuries or conditions.

  • No card details in the chat: it sends your payment link and quotes fees as written.

  • Honest about what it is: the visitor is told it is an automated assistant and can ask for a person at any time, which Meta’s policy expects from automation.

  • Waivers, freezes and complaints go to a person: it collects the details and runs a flow that hands the chat to the desk.

How It Works in WABB: Knowledge, Agent, Booking, Handoff

The four use cases run on eight pieces set up in AI Lab, Automation and Flows. The step-by-step guide to building the agent shows every screen. First connect the number to the WhatsApp Business Platform (the API requirements checklist lists what to have ready) and activate AI Starter (see the plans) under Settings → Subscriptions, with credits in Billing → Usage.

What the agent knows

Everything the agent says comes from your files. A first set:

  • Plans and fees: monthly, quarterly and annual prices, the joining fee, and any offer with its end date.

  • Timetable and classes: class times, capacity, how to book and cancel, and women’s or senior batches.

  • Facilities and rules: branches and hours, lockers, showers, parking, dress code and the guest-pass rule.

  • Policies as written: freeze, transfer, refund and the terms of the free trial.

  • Trainers and personal training: what you offer and whom to contact, because a person has to price it.

How a chat reaches the agent

The agent starts when a message matches a keyword you set in Automation → Keywords; other messages get the default response from Settings → Connection or wait in your inbox. List the words people use: fees, membership, trial, class, batch, renew and your gym’s name, and put one in an ad’s starting message.

WABB Keywords automation with gym keywords that start the AI Agent
Keywords that start the agent, set up in a QA workspace.

Trial and class booking

Cases 1 and 2 run a flow once the agent has what it needs. An External HTTP Request asks your gym software for free trial slots or class capacity, a Send Message block shows them, and a second request books the spot. A cancellation can use the same kind of request.

In the block you set the request type, an https address, headers and a body, and save values from the answer into user fields.

WABB External HTTP Request settings: request type POST, an https address and a JSON body with the class, date and time
The External HTTP Request block, set up in a QA workspace. The address is a placeholder, not a live gym system.

This needs gym software with a web API that can find a member by phone number. The block has On success and On failure exits, so send a failed booking to a person.

In QA we built the agent, the keywords and the request block, and ran a request against a public test endpoint.

We did not chat with the agent on a live number, connect a real gym system or gateway, send a live notification, wait out a Delay or import dates, so treat the example chats as illustrations and test every flow with dummy data. No API? The agent can still collect the preferred time for your desk.

Boundaries and handoff

Boundaries put the rules above into plain sentences. Before launch, ask it for a discount, a free month and injury advice, and check that it refuses.

Case 4 runs on an instruction that ends with a Run Flow action. The flow runs Assign chat and mark as open, which takes a group or a manager (for example a group called Membership desk), and Notify team member with a text you write. Tick Notify by Email to send it by email.

We found no shift schedule in WABB that picks the member for you, so make sure someone in that group watches the inbox. When the agent cannot help, Fallback & Launch transfers the chat to a person you name.

Reminders, renewals and the 24-hour window

A flow’s Send Message block switches between the 24-hour window and templates: inside the window you write free text, outside it you pick an approved template. The trial reminder in case 1 is the end of the booking flow: a Delay block waits (up to 30 days, or until a date and time), and a template reminds the visitor.

A renewal message goes out from a scheduled broadcast to a list of the members whose plan ends soon, and the member’s reply opens the window in which the agent answers, as in case 3. The end dates live in your gym software, so they have to reach the contact first, for example from an .xlsx contacts file or through Google Sheets.

Business Impact: What You Are Aiming For

Results depend on your gym, your members and how well the agent is set up, so there are no percentages here. These are the changes a gym should look for:

Evening enquiries that get an answer

A prospect who writes after the desk closes receives the prices, a question about their goal and a trial slot instead of silence.

Trials and classes booked without a call

With gym software that has an API, a visitor or member books a slot or a class spot in the same chat.

Fewer routine questions at the desk

Timings, plans, guest passes and freeze rules are answered in the chat while the desk serves people at the door.

Briefs your team can use

When a person takes the chat, the goal, the dates and the request are already written down.

Renewals that start before the plan ends

A member gets a reminder, a price and a payment link in one chat, instead of waiting for a call.

A view of what people ask

The Unanswered list shows which questions your rate card and timetable do not yet cover.

How to tell it is working

Write down your own numbers for a normal month, then track four things every week. The support automation use case covers the inbox side.

  • Enquiries received outside desk hours, and how many reached a trial booking

  • Trial visits booked against trial visits attended

  • Chats handed to the desk with the dates or the request already written down, against those missing a detail

  • Members who renewed from a reminder, and Unanswered questions per week

The agent handles the questions that repeat. Your team handles the people who need a person.

FAQ

Common Questions

Can an AI Agent book classes and take membership payments?

Through your own systems. A WABB flow can send an External HTTP Request to your gym software, check capacity, book the spot and send your payment-gateway link. Both systems need a web API, and WABB has no class calendar of its own. See How It Works in WABB.

Does WABB work with my gym management software?

WABB has no ready-made connector for gym software. A flow can call your system’s web API through an External HTTP Request, if your vendor offers one, and a Google Sheets integration exists for simpler setups. Ask your vendor about API access before you plan the flow. See How It Works in WABB.

Can the agent ask about injuries or health conditions?

It is better not to. Meta’s policy restricts requesting health-related information over WhatsApp where regulations apply, so the agent tells visitors to speak to the trainer, and your health declaration stays on your own form or at the desk. See Rules for Gym Chats.

Are renewal reminders allowed?

With the member’s opt-in and an approved template. Meta’s table lists a subscription renewal message with a discount as marketing, so we plan renewal reminders as marketing templates (our reading). A reminder for a booked class or trial should be a utility template. See Rules for Gym Chats.

Can the agent offer discounts?

Only the offers written in its files, with their end dates. If a member asks for a discount that is not there, as in case 3, it says it has none on file and points to the desk, which can decide. See Four Use Cases.

Does the agent answer every message on our number?

No. It starts when a message matches a keyword you set; other messages get your default response or wait in the team inbox. List the words people use, such as fees, membership, trial, class, batch, renew and your gym’s name. See How It Works in WABB.

What if the lead comes from an Instagram or Click-to-WhatsApp ad?

When the person writes first, your reply window is open and the agent can answer right away, as in case 1. Set the ad’s starting message to include a keyword so the agent starts. See Four Use Cases and the Click-to-WhatsApp ads guide.

Answer Members When the Front Desk Is Busy

WABB can answer plan and timetable questions, book trials and classes through your gym software and hand freezes and special cases to your desk. See it on your own gym.
