This guide follows the WhatsApp chats a travel agency gets every day, how an AI Agent answers them and where a person must take over. Names, packages and prices in the examples are made up. AI Agents for Travel Agencies: Quick Answer
The short version:
What it does: an AI Agent answers travellers on WhatsApp from the packages, prices and policies your agency has approved: it asks for the details a quote needs, suggests matching packages, books through your booking system and answers pre-trip questions.
Where it helps: enquiries from ads and Instagram that arrive at night, the same inclusion and visa questions all week, and quotes that nobody follows up.
What stays with people: custom and group trips, visa cases, negotiation, changes with supplier fees, refunds and anything that goes wrong during a trip.
In WABB: a knowledge database, a keyword that starts the AI Agent, instructions, boundaries, a flow that checks availability and sends a deposit link through your system’s API, a delayed follow-up template and a flow that hands special cases to your team.
Where Travel Chats Break
It is 10 pm. A family has seen a Kerala ad and writes to the agency’s WhatsApp number: five nights in December, two adults, two children, a budget in mind. The team sees the message the next morning, asks for the missing details and sends a quote by hand, and by then the family may have asked another agency. This is an illustration, not a case study.
A travel chat has a long road from the first question to a booking, and it breaks in six places.
Enquiries arrive half-finished
“Kerala rate for 4?” has no dates, no ages and no budget. Each missing detail costs a round trip before a quote is possible.
Planning happens after office hours
Travellers browse in the evening and on weekends. A message sent at 10 pm waits until the team opens, and another agency may answer first.
The same questions repeat
What is included, which documents a visa needs, whether children get a discount. The answers exist, but they are typed out for each traveller.
Quotes go quiet
A quote is sent and the chat stops. The follow-up depends on someone remembering it among the other open enquiries.
Pre-trip questions flood the phones
Pickup times, hotel names and the itinerary are asked again days before departure, when the team is busiest.
Problems arrive at the worst time
A delayed flight or a change request lands in the same inbox as routine questions, and it cannot wait in the queue.
Ads and Instagram bring the enquiries — see WhatsApp lead generation. The gap is the conversation that follows the first message.
What an AI Agent Can Actually Do for a Travel Agency
An AI Agent reads a free-text message, uses the information you have approved and decides what to ask or do next. In a travel chat that comes down to seven jobs:
| Job | The traveller says | The agent |
|---|---|---|
| Qualify an enquiry | “Kerala for 4, December, around ₹1.2 lakh?” | Asks for the missing dates, ages, trip style and whether flights are included, and keeps the answers as the brief. |
| Match packages | “Something with hills and backwaters.” | Suggests one or two packages from your catalogue with the “from” price and what the price includes. |
| Answer trip questions | “Is breakfast included? Which month for Munnar?” | Answers from your inclusions, policies and destination notes. If the answer is not there, it says so and asks your team. |
| Check, hold and take a deposit | “Yes, the first package.” | Runs a flow that asks your booking system for availability and the price for those dates, holds the booking and sends your deposit link. |
| Send the itinerary and trip details | “Can you send the plan again?” | Sends the itinerary PDF and the pickup and hotel details your booking system holds for that traveller. |
| Follow up on a quote | No reply for two days | A flow waits, then sends an approved template that asks whether the traveller wants to go ahead. |
| Route special cases | “We are 22 people for a wedding.” | Collects the brief and tags the chat, then hands it to the group desk, the visa desk or a named person. |
The list leaves out custom itineraries, group pricing, visa cases, supplier negotiation, refunds and emergencies abroad. Those belong to your team — see Rules for Travel Chats.
Four Use Cases: From the First Message to the Trip
Each case starts with a problem the agency already has, shows the chat and ends with what the agency gets. The conversations are illustrations, not transcripts of real travellers. Read them for what the agent does between the lines: it asks only what it needs, says what it cannot decide, and ends on a clear next step.
From an Instagram ad to a held booking
Leisure and family packages with fixed itineraries
The problem. A family writes at 10 pm after seeing a Kerala ad. The team sees it the next morning, asks for dates, ages and budget, then quotes by hand, and the family may have moved on.

Hi, saw your Kerala ad on Instagram. 4 of us, 2 adults and 2 kids (8 and 11), from Pune. 5 nights in December, budget around ₹1.2 lakh without flights?
Hello Priya, I am the agency’s automated assistant. I will use your details only for this enquiry. Which dates are you thinking of, and do you prefer hills, backwaters or both?
12 to 17 Dec. Both if possible
Two packages from our October price list fit: Kerala Family Escape (Munnar, Thekkady, an Alleppey houseboat) from ₹98,000 for four, and Kerala Backwaters Slow (Alleppey, Kumarakom) from ₹1,12,000. Prices depend on the dates. Shall I check the first one for 12 to 17 December?
Yes, the first one
Checking availability and the price for those dates.
Available. For 4 travellers in two rooms the price is ₹1,04,500, without flights. I can hold it for 24 hours with a ₹20,000 deposit. Shall I send the payment link?
Yes please. Can I also get the day-by-day plan?
Here is the itinerary (PDF). Pay the deposit within 24 hours here: pay.agency.example/k/7731. The page after payment opens our secure form for traveller details, so please do not send passport copies in this chat.
- Asked
- Dates and trip style. The family had already given the rest.
- Remembered
- Party of four with two children, December dates, budget and the chosen package.
The result. The family has a priced package, a held booking, the itinerary and a deposit link before midnight. Nobody on the team touched the chat.
Visa and document questions
Agencies that sell international packages
The problem. A traveller asks what a visa needs and whether to book flights first. The team answers the first part from a checklist every week and has to be careful with the second.

We want to go to Dubai in January, 4 adults. What do we need for the visa? And should I book flights before it comes through?
Hi Sunil. Our Dubai tourist visa checklist (updated 2 October) asks for a passport valid for at least six months, a recent photograph and your travel dates. Our visa desk files the application. Processing time and approval are decided by the authorities, and I cannot promise either.
ok. so should I book the flights now?
I cannot advise on that for your case. A non-refundable ticket bought before approval carries a risk, and airline refund rules differ. Our visa desk can talk you through it. Shall I ask them to call you, or send the checklist and our visa terms?
Send the checklist. Where do I send the passport?
Here are the checklist and the visa terms (PDFs). Please do not send the passport here. When you book, you will get a link to our secure upload form.
- Asked
- Nothing more. The checklist answered the question.
- Remembered
- Destination, month and four adults. It repeats the checklist word for word, and the date shows how old the answer is.
The result. The traveller has the checklist and the visa terms in the same chat, knows what the agency cannot promise, and knows where the passport goes.
A group trip that needs a person
Weddings, corporate offsites and large family groups
The problem. A 22-person group needs rooms, buses and a dinner. The price depends on hotels, dates and negotiation, so no price list can answer it.

We are 22 people for a family wedding in Udaipur in February. Need rooms, 2 buses and a dinner for the sangeet. Can you quote?
Congratulations, Rahul! I am the agency’s automated assistant. Group trips are priced by our group desk, so I will collect the brief for them. What are the exact dates, how many rooms do you need and in which hotel category?
20 to 23 Feb. About 10 rooms, 4 star
Thank you. Do you need airport or railway transfers, and what budget per person do you have in mind?
Pickup from Udaipur airport. Around 18,000 per person
Noted: 22 guests, 20 to 23 February, about 10 rooms in a 4-star hotel, airport pickup, ₹18,000 per person and a sangeet dinner. I cannot price a group, and I do not want to guess. I have passed the brief to Meera at our group desk. She will reply here between 10 am and 7 pm.
- Asked
- Dates, rooms, hotel category, transfers and budget: what a group quote needs.
- Remembered
- Dates, rooms, hotel category, transfers and budget, so the desk does not ask again.
The result. The group desk opens the chat with the dates, rooms, budget and transfers already written down, and the traveller was told honestly that a person will quote.
A trip reminder that answers itself
Agencies with booked trips and a booking system
The problem. Three days before departure the same questions arrive from every traveller: when is the pickup, where is the first hotel, where is the plan.

Hi Priya, your Kerala Family Escape starts in 3 days, on 12 December. Reply here if you need your pickup details, the hotel list or the itinerary.
What is the pickup time? We land in Kochi at 2:40 pm
Let me check your booking.
Your driver will meet you at Kochi arrivals around 3:30 pm. The first night is at the Munnar hotel in your itinerary, with check-in from 2 pm.
Great. Can you send the itinerary again?
Of course, here it is (PDF). Have a lovely trip, Priya.
- Asked
- Nothing. It already had the booking details.
- Remembered
- The booking for that number. A date change or an extra traveller changes the price, so the agent passes those to the booking desk.
The result. The traveller has the pickup time, the first hotel and the itinerary in the same chat, and the booking desk did not pick up the phone.
Rules for Travel Chats: What the Agent Must Not Do
A travel chat carries passports, payments and promises about trips that cost real money, so the limits come before the setup. Three sets of rules shape what an agent may do. This is not legal advice: ask your lawyer how they apply to your agency.
Opt-in, templates and categories
WhatsApp lets a business contact only people who gave their number and opted in to messages from it. A conversation can start only with an approved template. A booking confirmation or a reminder about a trip the traveller booked fits Meta’s utility criteria; a “Goa from ₹14,999” offer is marketing, and a template that mixes the two counts as marketing.
Documents and payments stay out of the chat
Meta’s policy says not to share or ask people to share full-length card numbers, financial account numbers, personal ID card numbers or other sensitive identifiers. Our reading is that a passport number or a passport scan is one. The agent sends travellers to your own secure form for documents and to your payment page for money.
A way out and a clear consent
Meta allows automation in the 24-hour window if the traveller has a prompt, clear way to reach a person: a transfer in the chat, a phone number, an email or a support form. India’s DPDP Rules, notified in November 2025, phase in over 18 months and require a clear, separate consent notice, so say what a traveller’s number and messages are used for.
For the agent this comes down to five rules, and each one becomes a boundary, an instruction or a flow in the setup below:
Approved offers only: packages, inclusions and “from” prices come from your files, and the price for exact dates comes from your booking system. It invents no availability or discount.
No promises it cannot keep: visa approval, processing time, weather and refunds beyond your written terms.
No documents or card details in the chat: it points to your secure form and your payment page.
Honest about what it is: the traveller is told it is an automated assistant and can ask for a person at any time.
Trouble goes to a person: a cancelled flight, a missed connection or a lost passport gets your emergency contact and a flow that hands the chat over.

How It Works in WABB: Knowledge, Agent, Booking, Follow-up
The four use cases run on eight pieces set up in AI Lab, Automation and Flows. The step-by-step guide to building the agent shows every screen. First connect the number to the WhatsApp Business Platform (the API requirements checklist lists what to have ready) and activate AI Starter (see the plans) under Settings → Subscriptions, with credits in Billing → Usage.
| Piece | What it does for an agency | Where in WABB |
|---|---|---|
| Knowledge | Packages, prices, policies and checklists. Upload files (PDF, DOCX, PPTX, TXT, MD; up to 10 MB) or add approved answers as question groups. | AI Lab → Knowledge databases |
| Entry | A keyword in the traveller’s message starts the agent. Messages that match nothing get your default response or wait in the inbox. | Automation → Keywords |
| Instructions and boundaries | How the agent qualifies an enquiry, when it runs a flow and what it must not promise. | Logic |
| Booking and itinerary | A flow asks your booking system for availability and the price, sends the deposit link and attaches the itinerary PDF. | Flows |
| Follow-up | A flow waits, then sends an approved template if the traveller has not replied. | Flows and Settings → Connection |
| Handoff | A flow that tags the chat, assigns it and notifies your team. After the retry limit, Fallback & Launch transfers the chat to a person. | Flows and Fallback & Launch |
| Trip reminders | Template messages sent from a scheduled broadcast. Replies are answered by the agent inside the 24-hour window. | Broadcasts, as in the bulk messages guide |
| Review | Questions the agent could not answer, so you can add the answer. | AI Lab → Unanswered |
What the agent knows
Everything the agent says about a trip comes from the files you give it, so the knowledge database is the first job. A first set of files:
Packages and inclusions: itinerary, hotels, meals, transfers and what is not included.
Price list: “from” prices with the season and the date they were last checked.
Policies as written: payment schedule, cancellation, child rates and the visa terms of your agency.
Document checklists: one per destination, with the date you last checked it.
Destination notes: airports, seasons and transfer times, approved by your team.

How a chat reaches the agent
The agent starts when a traveller’s message matches a keyword you set in Automation → Keywords; other messages get the default response from Settings → Connection or wait in your inbox. List the words travellers use: package, trip, tour, quote and your destination names. A message in words you did not list reaches neither the agent nor the trouble flow, so keep the inbox watched.
Booking, deposit and itinerary
Case 1 runs a flow once the agent has the package and the dates. An External HTTP Request asks your booking system for availability and the price, a Send Message block shows them, and a second request holds the booking and gets the deposit link from your payment gateway. The itinerary goes out as a file in a Send Message block, and case 4 reads the traveller’s booking the same way.
In the block you set the request type, an https address, headers and a body, and save values from the answer into fields.

This needs a booking system and a payment gateway with a web API. We did not connect a live booking system or gateway, run the handoff flow on a live chat or test the date import below, so try each flow with dummy data before launch. Without an API, the agent can collect the brief and pass it to your team.
Boundaries and handoff
Boundaries hold the rules from the section above in plain sentences: no visa promises, no documents or card details in the chat, no prices or availability from outside your files and system. Before launch, ask the agent to promise a visa, a discount and a room upgrade, and check that it refuses.
Case 3 runs on an instruction that ends with a Run Flow action. The flow tags the chat as a group enquiry, assigns it and notifies your team with a text you write. When the agent cannot help, Fallback & Launch transfers the chat to a person you name.
Follow-ups, reminders and the 24-hour window
A flow’s Send Message block switches between the 24-hour window and templates: inside the window you write free text, outside it you pick an approved template. A quote follow-up is the second kind: a Delay block waits for a duration of up to 30 days, or until a fixed date and time, and the next Send Message block sends the template. A nudge to book is persuasive, so expect Meta to treat it as marketing.

A trip reminder goes out from a scheduled broadcast, and the traveller’s reply opens the window in which the agent answers if it matches a keyword. Word the template to invite one, as in case 4. The departure date lives in your booking system, so it has to reach the contact first, by import or through Google Sheets.

Business Impact: What You Are Aiming For
Results depend on your agency, your travellers and how well the agent is set up, so there are no percentages here. These are the changes an agency should look for:
Night enquiries that get a real answer
A traveller who writes after hours receives matching packages and a next step instead of silence.
Briefs your sales team can use
When a person takes the chat, the dates, party, budget and trip style are already written down.
Bookings held without a call
With a booking system that has an API, a traveller gets a price, a hold and a deposit link in the same chat.
Quotes that get a follow-up
A flow sends the nudge on time, so follow-up no longer depends on someone’s memory.
Pre-trip questions off the phones
Pickup times, hotels and itineraries are answered in the chat before departure.
A view of what travellers ask
The Unanswered list shows which questions your brochures and checklists do not yet cover.
How to tell it is working
Write down your own numbers for a normal month, then track four things every week. The support automation use case covers the inbox side.
Enquiries received outside working hours, and how many reached a package suggestion
Chats handed to a person with a complete brief (dates, party, budget), against those missing a detail
Quotes followed up after two days, and how many travellers replied
Pre-trip questions answered without a call, and Unanswered questions per week
The agent handles the questions that repeat. Your travel experts handle the trips that are not routine.
FAQ
Common Questions
Can an AI Agent book tours and take payments?
Through your own systems. A WABB flow can send an External HTTP Request to your booking system, check availability and the price, hold the booking and send your payment-gateway link. Both systems need a web API, and WABB has no booking calendar of its own. See How It Works in WABB.
Can the agent quote prices?
It can quote the “from” prices in your files and, if a flow connects your booking system, the price for exact dates. Group trips, discounts and custom itineraries stay with your team. See Four Use Cases: From the First Message to the Trip.
Can an AI Agent answer visa questions?
It can repeat the document checklist and the terms your agency has written, with the date they were checked. It should not promise approval or a processing time, because the authorities decide both. See Rules for Travel Chats.
Can travellers send passports through the agent?
It is better not to. Meta’s policy says not to ask people to share personal ID card numbers or other sensitive identifiers, and we read a passport as one. Send travellers to your own secure upload form. See Rules for Travel Chats.
Are trip reminders and booking confirmations allowed?
With the traveller’s opt-in and an approved template. A confirmation or reminder about a trip the traveller booked fits Meta’s utility criteria if it contains no promotion; a template that mixes in an offer counts as marketing. See Rules for Travel Chats.
What happens when a trip goes wrong?
You give the agent an instruction that shares your emergency contact and runs a flow that assigns the chat and notifies your team. It starts only when the message matches a keyword you set, and it helps only if someone watches the inbox. See How It Works in WABB.
Does the agent answer every message on our number?
No. It starts when a message matches a keyword you set; other messages get your default response or wait in the team inbox. List the words travellers use, such as package, trip, quote and destination names. See How It Works in WABB.
