AI Agents for Hotels and Hospitality: Real WhatsApp Guest Workflows

Booking enquiries, arrival questions, in-stay requests and reviews — four WhatsApp workflows for a hotel, and where the front desk takes over.

AI Agents for Hotels and Hospitality: a WhatsApp chat in which the resort assistant holds a garden room and sends a payment link

This guide follows the WhatsApp chats a hotel gets every day, how a WhatsApp AI agent for hotels answers them and where the front desk takes over. Names, rooms and rates are made up. The same idea in other industries: AI Agents for Real Estate Sales, AI Agents for Education and Coaching, AI Agents for E-commerce and D2C, AI Agents for Healthcare and Clinics and AI Agents for Travel Agencies.

AI Agents for Hotels and Hospitality: Quick Answer

The short version:

  • What it does: an AI Agent answers guests on WhatsApp from the rooms, rates and policies your hotel has approved: it asks for the dates and party an enquiry needs, checks availability and the rate through your booking engine, answers arrival questions and asks for feedback after checkout.

  • Where it helps: enquiries that arrive late at night, the same check-in, parking and breakfast questions every day, and pre-arrival calls that reach the front desk at its busiest.

  • What stays with people: weddings and group bookings, rate negotiation, complaints, anything about safety or health, and decisions on room changes and refunds.

  • In WABB: a knowledge database, a keyword that starts the AI Agent, instructions, boundaries, a flow that checks availability and sends a payment link through your system’s API, a flow that hands special cases to your duty manager, and scheduled broadcasts for reminders and feedback.

01

Where Hotel Chats Break

It is 11 pm. A couple has read about a resort and writes to its WhatsApp number: a room for the weekend, two adults and a child. The team sees the message the next morning, asks for the missing details and quotes by hand, and by then the couple may have booked through a listing site. This is an illustration, not a case study.

A hotel chat runs from the first enquiry to the review after checkout, and it breaks in six places.

Enquiries arrive without details

“Rate for the weekend?” has no dates, no number of guests and no room type. Each missing detail costs a round trip before a rate can be quoted.

Guests compare after hours

People choose a hotel in the evening, on two or three tabs. A message sent at 11 pm waits until morning, and the guest may already have booked elsewhere.

The same questions repeat

Check-in time, breakfast, parking, pets, the pool. The answers exist in the handbook, but they are typed out for each guest.

Arrival questions flood the phones

Early check-in, directions and what to bring are asked in the days before arrival, when the front desk is already checking people in.

Night requests have no owner

A guest messages at midnight about the air conditioning. With a thin night shift, nobody sees it until the guest has called the desk or left.

Reviews arrive before the fix

A guest who had a poor stay says so publicly after checkout. The hotel learns about the problem when others can already read it.

Ads and Instagram bring the enquiries — see WhatsApp lead generation. The gap is the conversation that follows the first message.

02

What an AI Agent Can Actually Do for a Hotel

An AI Agent reads a free-text message, uses the information you have approved and decides what to ask or do next. In a hotel chat that comes down to seven jobs:

JobThe guest saysThe agent
Qualify a stay enquiry“A room for 20 to 22 November, 2 adults and a child?”Asks for the missing dates, ages and room type, and keeps the answers as the brief.
Answer property questions“Is breakfast included? Do you allow pets? Is there parking?”Answers from your handbook and policies. If the answer is not there, it says so and asks your team.
Check availability and take an advance“Yes, the garden room.”Runs a flow that asks your booking engine for availability and the rate, holds the room and sends your payment link.
Prepare the arrival“What time can we check in? How do we reach you?”Sends check-in rules, directions and a link to your pre-check-in form.
Take in-stay requests“The AC in my room is not cooling.” “An extra pillow, please.”Collects the room number and the request, then passes it to maintenance, housekeeping or the duty manager.
Ask about the stayA guest checks outA template asks how the stay was, answers the reply and shares your review link with every guest.
Route special cases“We are 60 guests for a wedding.”Collects the brief and hands the chat to the events desk, the duty manager or a named person.

The list leaves out rate negotiation, weddings and group pricing, room changes, refunds and emergencies. Those belong to your team. It also leaves out spa and transfer offers, which are marketing messages — see Rules for Hotel Chats.

03

Four Use Cases: From the First Message to the Review

Each case starts with a problem the hotel already has, shows the chat and ends with what the hotel gets. The conversations are illustrations, not transcripts of real guests. Read them for what the agent does between the lines: it asks only what it needs, says what it cannot decide, and ends on a clear next step.

1

A weekend enquiry that becomes a direct booking

Resorts and boutique hotels that sell direct

The problem. A couple writes at 11 pm after reading about the resort. The team sees the message in the morning, asks for dates and guests, and by then they may have booked through a listing site.

Hi, is a room free on 20 to 22 Nov? 2 adults and our daughter, she is 6. Looking for something with a garden view

Hello Rahul, I am the resort’s automated assistant. I will use your details only for this enquiry. Do you prefer a king bed with an extra bed for your daughter, or a family room with two beds?

King with an extra bed is fine

Our Garden Deluxe has a king bed and room for an extra bed, and breakfast is included. Rates depend on the dates. Shall I check 20 to 22 November for you?

Yes please

Checking availability and the rate for those dates.

A Garden Deluxe is available. Two nights with an extra bed and breakfast come to ₹15,200. I can hold it for 24 hours against an advance of ₹6,400. Shall I send the payment link?

Yes. What is your cancellation policy?

Free cancellation up to 7 days before arrival, then the advance is kept. Pay the advance within 24 hours here: pay.resort.example/r/4412. The page after payment shows your booking and opens our pre-check-in form, so please do not send ID photos in this chat.

Two adults, a six-year-old, the dates and the room they chose.

The result. The couple has a rate, a held room and a payment link before midnight. Nobody at the front desk touched the chat.

2

Arrival questions two days before check-in

Hotels with booked guests and a pre-check-in form

The problem. Two days before arrival the same questions come to the front desk: how early can we check in, how do we get there, what do we bring.

Hi Rahul, your stay at Palm Grove Resort starts on Friday, 20 November. Reply here if you need check-in details, directions or your pre-check-in form.

We will reach around 11 am. Can we check in early?

Check-in is from 2 pm. From 12 noon it is free if the room is ready, and I cannot promise a room before then. You are welcome to leave your bags at the reception from 11 am and use the garden and the pool while you wait.

Ok. And do you need our ID in advance?

Every adult shows a valid photo ID at check-in. You can fill our pre-check-in form here so the desk is ready: checkin.resort.example/4412. Please do not send ID photos in this chat.

Perfect. How do we get there from Mumbai?

From Mumbai it is about a three-hour drive, depending on traffic. Here is the Google Maps link and the parking details. See you on Friday!

3

An in-stay problem at night that needs a person

Hotels with a small night shift: maintenance and housekeeping requests

The problem. At 11:40 pm a guest writes that the air conditioning does not cool. Diagnosing it, moving the guest or giving a discount is not a chat decision.

The AC in room 214 is not cooling at all and my baby is asleep. It is very warm in here

I am sorry, that is not what we want for your night. I am the resort’s automated assistant, so I cannot fix this myself. Is the unit running but warm, or not running at all?

Running but warm air

Thank you. I have passed room 214 and the problem to our night duty manager. A different room depends on what is free, and only the manager can decide that. If you need someone sooner, dial 0 from the room phone for the reception.

Passed to the duty manager with room 214 and the problem

Remembered
The room number and the symptom, so the manager does not ask again.

The result. The duty manager gets the room number and the problem already written down, and the guest was told honestly what happens next.

4

Feedback after checkout, and a review link for everyone

Hotels that depend on Google reviews

The problem. Guests rarely leave a review unless asked, and the ones with a complaint leave it first. The hotel hears about small problems only when they are public.

Hi Rahul, thank you for staying at Palm Grove Resort from 20 to 22 November. How was your stay? Reply here and tell us.

Lovely garden and breakfast. Wi-Fi in the room was very slow though

Thank you, Rahul, that is useful. I will pass the Wi-Fi remark to our manager. If you would like to share your stay publicly, here is our Google review page: g.page/palm-grove-resort.example. We hope to see you again.

Rules for Hotel Chats: What the Agent Must Not Do

A hotel chat carries ID documents, payments and reviews that other guests will read, so the limits come before the setup. Three sets of rules shape what an agent may do, and India’s DPDP Rules, notified in November 2025, also require a clear consent notice, so say what a guest’s number is used for. This is not legal advice: ask your lawyer how they apply to your property.

Opt-in, templates and categories

Meta’s policy lets you contact only people who gave you their number and confirmed they want messages from you. A number a listing site passes you with a booking does not show that, so ask on your own booking form or at check-in. A feedback request about a recent stay is a utility example in Meta’s guide; arrival details should fit too (our reading). A spa or transfer offer is marketing.

IDs and payments stay out of the chat

Meta’s policy says not to ask people for full-length card numbers, financial account numbers, personal ID card numbers or other sensitive identifiers. Our reading is that ID photos and passport details are among them. Under section 8 of the Immigration and Foreigners Act, 2025, a hotel must submit prescribed information about foreign guests. It collects it at the desk or on its own secure form, and the agent only points there.

Reviews: ask everyone, reward no one

Google’s Maps policy does not allow incentives such as payment, discounts or free goods or services for posting a review or for revising or removing a negative one. It also does not allow discouraging negative reviews or selectively soliciting positive ones. So the agent sends the same review link to every guest, whatever they said, and never offers a reward for it.

For the agent this comes down to five rules, and each one becomes a boundary, an instruction or a flow in the setup below:

  • Approved facts only: room descriptions and policies come from your files, and the rate for exact dates comes from your booking engine. It invents no availability or discount.

  • No promises it cannot keep: a room before the standard check-in, an upgrade, a refund beyond your written terms.

  • No IDs or card details in the chat: it points to your pre-check-in form and your payment page.

  • Honest about what it is: the guest is told it is an automated assistant and can ask for a person at any time, which Meta’s policy expects from automation.

  • Safety and complaints go to a person: a medical emergency, a security issue or a problem with the room gets your reception number and a flow that hands the chat to the duty manager.

How It Works in WABB: Knowledge, Agent, Availability, Handoff

The four use cases run on eight pieces set up in AI Lab, Automation and Flows. The step-by-step guide to building the agent shows every screen. First connect the number to the WhatsApp Business Platform (the API requirements checklist lists what to have ready) and activate AI Starter (see the plans) under Settings → Subscriptions, with credits in Billing → Usage.

What the agent knows

Everything the agent says comes from your files. A first set:

  • Rooms and rates card: room types, beds, occupancy and “from” rates with the season and the date they were last checked.

  • Property handbook: check-in and check-out, breakfast, pool and spa hours, parking, pets and Wi-Fi.

  • Policies as written: advance and cancellation, extra beds, child rates, early check-in and late checkout.

  • Getting there and around: directions, transfer options, nearby places and the restaurant menu, approved by your team.

  • Weddings and events: what you offer and whom to contact, because a person has to price them.

A knowledge database with the files of a demo resort. It was created in a QA workspace for this guide.

How a chat reaches the agent

The agent starts when a guest’s message matches a keyword you set in Automation → Keywords; other messages get the default response from Settings → Connection or wait in your inbox. List the words guests use: room, stay, booking, check-in and your property name. A message in words you did not list reaches neither the agent nor the complaint flow, so keep the inbox watched.

Availability and the advance

Case 1 runs a flow once the agent has the dates, the guests and the room. An External HTTP Request asks your booking engine for availability and the rate, a Send Message block shows them, and a second request holds the room and gets the payment link from your gateway.

In the block you set the request type, an https address, headers and a body, and save values from the answer into user fields.

WABB External HTTP Request settings: request type POST, an https address and a JSON body with the room, check-in and check-out dates
The External HTTP Request block, set up in a QA workspace. The address is a placeholder, not a live booking engine.

This needs a booking engine and a payment gateway with a web API. The block has On success and On failure exits, so send a failed lookup to a person.

We ran the request against a public test endpoint in QA, but did not connect a real booking engine or gateway, send a live notification or import dates, so test each flow with dummy data. No API? The agent can still collect the brief for your team.

Boundaries and handoff

Boundaries hold the rules from the section above in plain sentences: no promises about early check-in or upgrades, no IDs or card details in the chat, no rates or availability from outside your files and system. Before launch, ask the agent to promise an upgrade, a discount and a free late checkout, and check that it refuses.

Case 3 runs on an instruction that ends with a Run Flow action. The flow runs Assign chat and mark as open, which takes a group or a manager (here a group called Duty managers), and Notify team member with a text you write. Tick Notify by Email to send it by email.

We found no shift schedule in WABB that picks the member for you, so make sure someone in that group watches the inbox at night. When the agent cannot help, Fallback & Launch transfers the chat to a person you name.

WABB Action block with an Assign chat and mark as open action set to a Duty managers group and a Notify team member action that sends a text by email to all members
The Action block of a handoff flow in a QA workspace: the chat goes to a group called Duty managers, and a notification with your text goes to all members by email.

Arrival reminders, feedback and the 24-hour window

A flow’s Send Message block switches between the 24-hour window and templates: inside the window you write free text, outside it you pick an approved template.

An arrival reminder and a feedback request go out from a scheduled broadcast, and the guest’s reply opens the window in which the agent answers if it matches a keyword. Word the template to invite one, as in cases 2 and 4. A remark in a feedback reply, like the slow Wi-Fi in case 4, goes to your manager through the same kind of flow as a complaint.

The arrival and checkout dates live in your booking system, so they have to reach the contact first, for example from an .xlsx contacts file or through Google Sheets.

Business Impact: What You Are Aiming For

Results depend on your property, your guests and how well the agent is set up, so there are no percentages here. These are the changes a hotel should look for:

Night enquiries that get a real answer

A guest who writes after hours receives a room suggestion and a next step instead of silence.

Direct bookings held without a call

With a booking engine that has an API, a guest gets a rate, a hold and a payment link in the same chat.

Fewer routine calls to the front desk

Check-in rules, directions and breakfast hours are answered in the chat before and during the stay.

Briefs and requests your team can use

When a person takes the chat, the room, the dates and the problem are already written down.

Feedback while the stay is fresh

A guest is asked once, in the chat, and a small problem reaches the manager before it reaches a review site.

A view of what guests ask

The Unanswered list shows which questions your handbook and rate card do not yet cover.

How to tell it is working

Write down your own numbers for a normal month, then track four things every week. The support automation use case covers the inbox side.

  • Enquiries received outside front-desk hours, and how many reached a room suggestion

  • Chats handed to a person with the room or dates already written down, against those missing a detail

  • Arrival questions answered without a call, and Unanswered questions per week

  • Guests who replied to the feedback message, and the remarks that reached your manager

The agent handles the questions that repeat. Your team handles the guests who need a person.

FAQ

Common Questions

Can an AI Agent take room bookings and payments?

Through your own systems. A WABB flow can send an External HTTP Request to your booking engine, check availability and the rate, hold the room and send your payment link. Both systems need a web API, and WABB has no room calendar of its own. See How It Works in WABB.

Does WABB work with my property management system?

WABB has no ready-made connector for hotel software. A flow can call your system’s web API through an External HTTP Request, if your vendor offers one, and a Google Sheets integration exists for simpler setups. Ask your vendor about API access before you plan the flow. See How It Works in WABB.

Can guests send ID cards through the agent?

It is better not to. Meta’s policy says not to ask people to share personal ID card numbers or other sensitive identifiers, and we read ID photos and passports as such. Your hotel still has to collect foreign guests’ details, so use your own form or the desk. See Rules for Hotel Chats.

Can the agent ask guests for Google reviews?

Yes, if it asks everyone and offers nothing in return. Google’s Maps policy bans incentives such as discounts or free services for reviews and bans selectively soliciting positive ones, so send the same link to every guest. See Rules for Hotel Chats.

Are arrival messages and feedback requests allowed?

With the guest’s opt-in and an approved template. A feedback request about a recent stay is a utility example in Meta’s guide, and arrival details should fit too (our reading), if neither contains a promotion. A spa offer or a discount makes the template marketing. See Rules for Hotel Chats.

What happens when a guest complains at night?

You give the agent an instruction that shares your reception number and runs a flow that assigns the chat and notifies your duty manager. It starts only when the message matches a keyword you set, and it helps only if someone sees the notification. See How It Works in WABB.

Does the agent answer every message on our number?

No. It starts when a message matches a keyword you set; other messages get your default response or wait in the team inbox. List the words guests use, such as room, stay, booking, check-in and your property name. See How It Works in WABB.

Answer Guests When the Front Desk Is Busy

WABB can answer room and policy questions, hold bookings through your booking engine and hand complaints to your duty manager. See it on your own property.
